These Terms & Conditions (the “Agreement”) form a binding contract between the registrant/attendee (the “Participant”, “you”) and Best Diplomats LLC and Best Diplomats Events LLC (together, “Best Diplomats”, “we,” “us,” or “our”). By accessing our website, submitting a registration, making any payment, or attending any conference, program, training, or simulation (each, an “Event”), you accept this Agreement and our Privacy Policy.

Best Diplomats may update this Agreement at any time. The version posted at www.bestdiplomats.org is the prevailing version and becomes effective upon posting.

1. Eligibility, Registration & Authorized Channels

1.1 Eligibility: Open to individuals with professional or academic interest in diplomacy, leadership, governance, or global affairs.

1.2 Official Registration Only: Registration and payment are made only at https://bestdiplomats.org/register.

1.3 Accurate Information: You must provide true and complete information.

1.4 Compliance: You are responsible for visas, health, insurance, and host-country laws.

1.5 Right to Accept/Reject: We may accept or refuse registration at our discretion.

2. Pricing, Taxes & Payment Terms

2.1 Prices & Taxes: Fees are displayed at checkout; bank and currency charges are borne by you.

2.2 Payment Methods: Only accepted methods shown at checkout.

2.3 Enrollment: Confirmed only upon cleared payment.

2.4 Installments: Each installment is non-refundable; delays may cause cancellation.

2.5 Immediate Services: Some services begin upon payment, such as ID issuance, admin processing, or visa letter support.

3. Refunds, Credit Vouchers & Transfers Policy

3.1 Non-Refundable: All payments are final. Only vouchers or transfers may apply for eligible delegates.

3.2 Eligibility: Full payment required to request voucher or transfer.

3.3 Ineligible Payments: First installments are non-refundable.

3.4 Conditions: Requests must be made via the Best Diplomats App and meet the following:

• Full payment completed;
• Request within 20 days of full payment; or
• At least 45 days before the event start date.

If not met, cancellation charges apply:

• 30 days prior: 30% retained
• 20 days prior: 50% retained
• 10 days prior: 75% retained
• 5 days prior: 100% retained (No-show)

3.5 Voucher Validity: 12 months; non-cash; non-transferable without consent.

4. Billing Issues & Consumer Rights

4.1 Contact: Email finance@bestdiplomats.org within 7 days for billing issues.

4.2 Evidence: Payment confirmation, delegate ID, or access to the portal may serve as proof of service.

4.3 Consumer Rights: Nothing here limits your rights under applicable law.

5. Program Changes & Force Majeure

5.1 Allocation: Done via our app; preferences not guaranteed.

5.2 Changes: We may rename, relocate, or reschedule without altering the event’s purpose.

5.3 Force Majeure: Delays beyond our control result in transfers, not refunds.

6. Conduct & Safety

6.1 Conduct: Respectful behavior is mandatory; misconduct may lead to removal without refund.

6.2 Responsibility: You are responsible for your safety and property.

7. Intellectual Property & Media

7.1 Ownership: All content belongs to Best Diplomats.

7.2 Restrictions: Recording or redistribution without consent is prohibited.

7.3 Media Use: Unless you opt out in writing, we may use photos/videos of you for promotion.

8. Data & Communications

8.1 Privacy: Handled per our Privacy Policy.

8.2 Notifications: You agree to receive operational updates via email/SMS/app.

9. Third-Party Services

We may use third-party vendors and platforms; they have separate policies.

10. Liability & Indemnity

10.1 Disclaimer: Events are provided “as is.”

10.2 Liability: Our total liability is limited to the fees you paid.

10.3 Indemnity: You agree to indemnify us from claims arising from your actions.

11. Governing Law & Dispute Resolution

11.1 UAE: UAE law; venue in Dubai.

11.2 US: Texas law; arbitration in Houston.

11.3 No Class Actions: All claims handled individually.

12. General

12.1 Notices: Email legal@bestdiplomats.org.

12.2 Updates: We may interpret or revise these Terms as needed.

12.3 Entire Agreement: This Agreement supersedes prior terms.

12.4 Acceptance: Proceeding with registration or payment means you agree to these Terms.
